Clever Adventure ("we", "us") makes the GatherQuest software for running live, in-person game events. This policy explains what the GatherQuest apps and services collect, why, and what happens to it.
The apps this policy covers
- GatherQuest GM — the tablet app that event staff and volunteers use to run game stations.
- GatherQuest OS — the phone app (and web app) that players use during an event.
- The GatherQuest server, which both apps talk to, and the GatherQuest Builder, which organizers use to design games.
Who is responsible for your data
Each event is run by an organizer (for example, a museum, school, or company hosting a fundraiser). The organizer decides what to collect at check-in, who is on which team, and what happens to the event's records afterward. GatherQuest processes that data on the organizer's behalf. If you have questions about a specific event's data, ask the organizer first; we will help them answer.
What we collect
Players (GatherQuest OS)
- Name and team. Entered by event staff at check-in so the game can address you and credit your team.
- Join codes. An event code and a player code identify your session. They are not passwords and do not identify you outside the event.
- Game activity. The jobs your team takes, in-game payments, in-game purchases, donations, auction bids, and similar actions. In-game money is fictional; no real money moves through the app.
- Photos you choose to take. The Photo Album and insurance-claim features let you take or attach a photo. Those go to the event's media library and are visible to your team and to event staff.
- Your consent choices. Whether you accepted the event terms and whether you allowed the organizer to use event photos/video afterward.
- Device preferences (wallpaper, notification sound, language) stay on your phone and are not sent to us.
Staff (GatherQuest GM)
- Name, email, and role, provided through the organizer's staff account.
- Actions you take while running a station (check-ins, payouts, sales, overrides), recorded in the event's audit log with your name.
- Photos and videos you capture during quests, uploaded to the event's media library. Video captured during timed challenges may include audio.
Everyone
- Technical data needed to keep the connection alive (a session token, and whether a device is connected). We do not collect precise location, contacts, advertising identifiers, or device fingerprints.
Why we collect it
Only to run the event: keeping score, routing teams to stations, showing live updates, producing the organizer's reports and exports, and keeping an audit trail so in-game money cannot be lost or double-counted.
What we do not do
- We do not sell or rent personal data.
- We do not use data for advertising, and the apps contain no ads or third-party ad or analytics SDKs.
- We do not track you across other apps or websites.
- The apps do not process real-money payments. The in-app auction records bids as commitments; any actual payment is arranged directly with the organizer, outside the app.
Camera, notifications, and other permissions
- Camera — used to scan QR codes and to take photos when you choose to. The camera is only active while a scanner or capture screen is open.
- Notifications (GatherQuest OS) — used for in-game alerts such as "report to work" and "payment received". You can decline; the in-app inbox still shows everything.
- Photo library — only if you choose to attach an existing photo.
Sharing
Event data is visible to the organizer's staff for that event. Photos may be visible to your own team within the app. Organizers may use event media afterward only if you allowed it at check-in; you can change your answer by asking the organizer. We use infrastructure providers (currently Cloudflare) to host the service; they process data on our behalf and do not receive it for their own use.
Retention and deletion
Event records belong to the organizer and are kept for as long as the organizer needs them for reporting and follow-up. Organizers can delete an event's data from the Builder. To have your data corrected or removed, contact the organizer of your event or email us at the address above and we will coordinate with them.
Children
Events may include children playing on teams with adults. We collect only what the organizer enters at check-in (typically a first name) and what the game records. We do not knowingly collect additional personal information from children, and organizers are responsible for obtaining any consent required in their jurisdiction.
Security
Data is encrypted in transit. Staff access is authenticated and role-limited; player sessions are limited to their own team's data. No system is perfectly secure, and we will notify affected organizers of any incident involving their event data.

We will post updates to this page and change the effective date above.
